Club Tasks: Create, Collect, and Track Member Submissions
Club Tasks help club leaders assign, collect, and track follow-up items from their members. You can use tasks for waivers, trip payments, forms, uploaded documents, short written responses, or simple completion checklists.
What Tasks are for
Tasks give your club one organized place to manage things members need to complete.
With Tasks, club leaders can:
- Create tasks for the club
- Add instructions, links, files, and due dates
- Choose who the task is assigned to
- Choose how members should respond
- See who submitted the task
- Review text responses and uploaded files
- Remind members who have not submitted yet
Tasks are useful when you need something more trackable than a chat message, announcement, or email.
Turn on Tasks for your club
Before you can create tasks, the Tasks feature needs to be enabled in your club settings.
- Open your club page.
- Open Edit Club Settings.
- Find Do you want to enable tasks?
- Choose Yes.
- Save your club settings.
Once Tasks are enabled, a Tasks tab will appear on your club page.
If you do not see this setting, contact your school administrator or Club Hub support to confirm that Tasks are enabled for your school.
Open the Tasks tab
After Tasks are enabled, go to the Tasks tab on your club page.
The Tasks tab shows the tasks that have already been created for the club. Each task row includes the task name, due date, assigned group, number of submissions, and task actions.
From this page, you can:
- Click Create new task to add a task
- Click the pencil icon to edit a task
- Click the trash icon to delete a task
- Click the eye icon to view task details and submissions
- See how many members have submitted each task
Create a new task
To create a task:
- Go to your club's Tasks tab.
- Click Create new task.
- Add a clear task name.
- Add a description with instructions for members.
- Add a due date.
- Choose who the task should be assigned to.
- Choose the submission format.
- Attach a file if members need one.
- Save the task.
Use the description to explain exactly what members need to do. If you include a website link in the description, members can click it from the task details.
Choose who should receive the task
When creating a task, choose the group that needs to complete it.
Depending on your club's setup, assignment options may include:
- All: Everyone connected to the club
- Members: Current club members
- Club Leaders: Student leaders of the club
- Interested Members: Students who are interested in the club
- Specific members: Individual students you select
Choose the smallest group that needs the task. This keeps tasks relevant for members and helps reminders go only to the right people.
Choose the submission type
Each task has a submission type. This controls how members complete the task.
Checkbox
Use a checkbox task when members only need to confirm that something is complete.
Examples:
- Confirm you paid for a trip
- Confirm you read the instructions
- Confirm you completed a form outside of Club Hub
- Confirm you reviewed an attached document
Members check the box and click Submit.
Text response
Use a text response task when members need to write an answer.
Examples:
- Share your t-shirt size
- Submit a reflection
- Paste a link to a completed form
- Explain why you want to attend an event
Members type their response and click Submit.
File upload
Use a file upload task when members need to upload a document or file.
Examples:
- Signed waiver
- Permission slip
- Receipt
- Poster or flyer
- Completed document
Members upload the file and click Submit.
Add an attached file for members
When creating a task, you can attach a file for members to download or review. This is different from a member's submission.
For example, you might attach:
- A waiver members need to complete
- A PDF with trip details
- Instructions for an event
- A template members should fill out
Members can open the attached file from the task details. If an email notification is sent for the task, the attached file may also be included in that email.
How members see tasks
Members see assigned tasks from the Tasks tab on the club page. They can open a task to review the instructions, due date, attached files, and submission form.
If the task requires a response, members click Submit and complete the required action based on the submission type.
Members may also receive an email or notification when a new task is assigned to them.
How members submit a task
The submission process depends on the task type:
- For a checkbox task, the member checks the box and clicks Submit.
- For a text response task, the member enters a response and clicks Submit.
- For a file upload task, the member uploads a file and clicks Submit.
After submitting, the task is marked complete for that member.
If a member needs to change a submission, they can open the task again and update, clear, or resubmit their response depending on the task type.
View task details and submissions
Club leaders can open a task to see the task details and review submissions.
To view a task:
- Go to the Tasks tab.
- Find the task you want to review.
- Click the eye icon.
The task details page shows:
- Task name
- Description
- Attached file, if one was added
- Due date
- Assigned group
- Submission format
- Submitted responses
For each submission, you can see who submitted and when they submitted. If the task required a text response or file upload, you can review the response from the task details.
Remind members who have not submitted
If some assigned members have not completed a task, you can send them a reminder.
To send a reminder:
- Open the task from the Tasks tab.
- Review the submission count.
- Click Remind.
- Confirm that you want to send the reminder.
Club Hub will remind assigned members who have not completed the task yet.
Use reminders when a deadline is coming up or when you need everyone to submit before an event, trip, meeting, or activity.
Edit or delete a task
You can edit or delete tasks from the Tasks tab.
Use Edit when you need to update the task name, description, due date, assignment group, attached file, or submission format.
Important: if you change the submission format after members have already submitted, they may need to submit the task again using the new format. If the task already has submissions, communicate the change clearly so members know what to do.
Use Delete only when the task is no longer needed. Deleted tasks no longer appear for members.
Tips for creating clear tasks
For best results:
- Use a short, clear task name.
- Put the most important instruction first.
- Add a due date whenever possible.
- Choose the correct submission type before members begin submitting.
- Attach any files members need to complete the task.
- Assign the task only to the members who need it.
- Check submissions regularly.
- Send reminders before the deadline.
Example tasks
Here are a few ways club leaders can use Tasks:
- Debate Competition Waiver: Attach the waiver and ask members to upload the signed file.
- Submit Payment for Trip to Boston: Use a checkbox so members can confirm that payment is complete.
- Officer Interest Form: Ask members to submit a text response explaining which role they are interested in.
- Promo Flyer Submission: Ask members to upload a flyer file for an upcoming event.
- Meeting Follow-up: Ask members to confirm they completed an action item from the last meeting.
Quick summary
