How to take attendance

Club leaders and faculty advisors of a club can take attendance during their event with Club Hub. The key benefit of tracking attendance on Club Hub is that you can access all the past event information in one place. We show you how often each member attended your meetings.

There are two methods of taking attendance.

Attendance QR Code

You can take attendance of everyone in your event in seconds. Every event on Club Hub has its own custom QR code that club leaders and faculty advisors can display to members and members can scan to be marked present.

You can access the QR code by clicking on any event and selecting take attendance:

Manual Attendance

If you want to manually select members who were present at the meeting you can click on "Take attendance manually" and then mark all any members present.

Timestamps

On the attendance list, you can click on "Show time stamp" to see how many minutes into the meeting a student signed up for an event.

Delete Attendance

If a student scans the QR code but shouldn't have, you can remove them by unselecting their name in the manual attendance tracking page.

We've added some helpful tools to help clubs where attendance is tracked and required. Club leaders, faculty advisors, and administrators can see the events that a member attended and the events that a member missed.

Update Club Settings

To access the advanced attendance tracking features for your club, select the club, click on the button with three dots in the top right corner, and edit settings. Scroll to membership preferences and select yes for the following question:

Then click on update settings at the bottom.

New Event Field

Once you turn this on, you will see a new question when creating and editing events:

Detailed Attendance View

If attendance at the event is required, then you will see a list of members who missed the event when you click on the event:

Also, in the members page, you will see a new column called missed events. This will count all of the required events that a member missed.

If you click on a member in the members table, you can see a list of all the events they attended, and all the events they were required to attend but missed:

Club Fair Join QR Codes

Here is the information for administrators to access the join QR Codes for the club before the club fair.

There are two options:

Administrator Download All As an administrator, you can go to the club's page. You will see a button with three dots to the right of the search bar. Click on it, and you will see the option to download all club fair QR codes. You can then open the downloaded file and print all the QR codes.

Club Leader Access Individual Club Club leaders can access their own club's join QR code by selecting the club, going to the members tab, clicking invite members, and selecting "Open QR Code". They can also download the file.

School-wide and Grade-wide Clubs

We are excited to offer administrators the ability to create clubs that automatically include all students in a grade, students from several grades, or the entire school!

Use Cases

Full School Club: share school-wide events such as the club fair, upload files like club handbook, and take attendance at school-wide events.
Grade-wide Club: grade deans can message to all students in a grade, take attendance at grade-wide events, and more

Set Up

First, create a club, then go to the members tab and click on the "Invite Members" button.

As an administrator, you will see the new option: "Invite Grade(s)"

Select grade(s) to add students to the club. Once you click save, everyone in the selected grades will be directly added to this club as a member. Any students who sign up for Club Hub in the future in one of the selected grades will also automatically get added to the club as a member.

Because you are adding entire grades, students will not be able to join or leave this club on their own.

If you unselect a grade, once students are already added, it will NOT remove them from the club, but it will stop adding new students who sign up in that grade. You can individually remove members from the club, remove all student members at once, or delete the club.

Invite Club Members

We've made several improvements to make it easier for administrators and club leaders to add members, club leaders, and faculty advisors to their clubs.

Viewing Invitations

When an invitation gets sent to a user, they will be notified via email. They will also see the invitation on their Club Hub dashboard, and on the clubs page under the "My Clubs" section.

Invite Options

There are several ways to invite users to your club. To access these options, select a club, go to the Members page, and click on the Invite Members button on the top right corner.

Share join link

You can copy the link for users to view your club and join. You can share this link in an existing group chat or email thread to transfer all the members on to Club Hub.

Open QR Code

You can show a QR code during the club fair, at the first meeting, or on a poster so users can scan it and join your club.

Send Invitation

This is the most comprehensive way to invite faculty advisors and club leaders.

First you choose the role (Member, Club Leader, or Faculty Advisor). Then you can select from a dropdown of all the users in your school who signed up for Club Hub and aren't already part of the club. If the user you are lo
