Set Up Custom Rotation Meeting Days

Schools that run an A and B day rotation instead of a fixed weekly timetable can replace the weekday meeting options with their own rotation names. You can stop there and use rotations as meeting day labels, or go one step further and have Club Hub create each club's meetings on every date of its rotation.


Before you start


Only school administrators can change these settings. Club leaders and faculty advisors cannot see them.


Step 1: Turn on custom rotations


  1. Go to Settings and open School Settings.
  2. Find Use a Custom Rotation for Club Meetings?
  3. Select Yes.
  4. A new Custom Meeting Days page appears in your Settings menu.

The usual weekday meeting options are hidden from clubs, and each club needs to pick one of your rotations instead. Earlier weekday choices are not deleted. If you switch the setting back to No, each club's previous weekday selection comes back.


Step 2: Add your rotations


  1. Go to Settings and open Custom Meeting Days.
  2. Type the rotation name in Type rotation here...
  3. Click Add.


Repeat for each rotation. Use whatever names your school uses, for example Day A, Day B or Blue Day. Club Hub will not let you add the same name twice.

To remove a rotation, click the pencil icon above the list, then click the x on the rotation.


Removing a rotation takes effect immediately with no confirmation step, and any club that was using it is left without a meeting day. Rotations cannot be renamed. To change a name, add the new one, move the clubs across, then remove the old one.


Step 3: Decide whether Club Hub creates the events


At the bottom of the Custom Meeting Days page is Create Club Events from Your Rotation Schedule?


Leave it set to No if you only want rotation names as meeting day labels on club pages. Club leaders carry on creating events by picking a date, exactly as before. Nothing else changes.


Set it to Yes if you want leaders to schedule a whole term of meetings in one go. Before you do, send us your rotation dates.


Send us your rotation schedule


Club Hub uploads your rotation dates for you. There is no upload screen in the app.


  1. Prepare a spreadsheet listing every date in the school year and the rotation day it falls on.
  2. Email it to ilanputerman@clubhub.co.
  3. Send an updated schedule whenever your calendar changes or a new school year begins.


Then set Create Club Events from Your Rotation Schedule? to Yes.

What your school sees once it is on


Club leaders, faculty advisors and administrators get a new question at the top of the Create Event form, asking whether the event is based on a club rotation or a specific date. Choosing a rotation creates the meeting on every upcoming date of that rotation.

Good to know


Only rotations that have dates in your uploaded schedule appear when a leader creates an event, so a rotation you added but did not send dates for will not be offered.


Dates that have already passed are skipped, and meetings are only created going forward.


Turning things off


To stop Club Hub creating events but keep the rotation labels, set Create Club Events from Your Rotation Schedule? back to No. The rotation question disappears from the Create Event form and the calendar labels stop showing. Meetings that were already created stay exactly as they are, with their rooms and reminders intact.


To switch off custom rotations entirely, do it in this order:


  1. Open Custom Meeting Days and set Create Club Events from Your Rotation Schedule? to No.
  2. Open School Settings and set Use a Custom Rotation for Club Meetings? to No.
