Using the Athletics tab in Club Hub

The Athletics tab gives your school a separate place to manage sports teams in Club Hub. Athletic directors and administrators can keep teams organized, help coaches communicate with athletes, and track participation without mixing sports teams into the regular Clubs page.


Athletics must be activated for your school by Club Hub. If you do not see the Athletics tab, reach out to Ilan to activate it for your school.


What the Athletics tab does


Use the Athletics tab to manage sports teams separately from clubs.


You can use it to:


  • Create athletic teams
  • Add coaches and student team leaders
  • Manage team rosters
  • Post practices, games, tryouts, and team events
  • Send team announcements
  • Share files, forms, links, and team resources
  • Track attendance and participation
  • Review team activity from an admin view
  • Keep athletics data separate from club data

What changes when Athletics is turned on


When Athletics is active, your school will see a separate Athletics area in the left-side menu. This keeps sports teams separate from clubs for browsing, setup, and administration.


You will also see athletics-specific wording in key places. For example:


  • New Team instead of New Club
  • Create New Athletic Team instead of Create New Club
  • Coach or Coaches instead of Faculty Advisor
  • Team instead of Club where the page is being used for athletics


This makes the experience clearer for athletic directors, coaches, and students.


If you still see club wording in an athletics flow, let Club Hub know. Some wording may depend on the page or feature your school is using.


How to create an athletic team


  1. Open the Athletics tab.
  2. Click New Team.
  3. Add the team name.
  4. Select the team coach or coaches.
  5. Add any students who should help start or manage the team.
  6. Continue through the setup form.
  7. Review the team page after it is created.

Administrators can create teams for different levels or seasons, such as Varsity Basketball, JV Baseball, Track & Field, Cross Country, or Soccer.


For tryout-based teams, you can require approval before students become full members.


What coaches can do


Coaches can use their team page to manage day-to-day team communication and organization.


Depending on your school's setup, coaches can:


  • View the team roster
  • Invite or manage athletes
  • Post team events
  • Add practices, games, meetings, and tryouts
  • Send announcements to team members
  • Share files and links
  • Track attendance
  • See who attended events
  • Message team members
  • Work with student leaders, captains, or managers who help keep the team page updated

Each team has its own page with tabs for managing the team.


Common team tabs include:


  • About: team description, next event, past activity, and admin-only team activity stats
  • Events: practices, games, tryouts, and other team events
  • Announcements: team updates and reminders
  • Files: forms, links, policies, playbooks, or other resources
  • Members: roster, roles, grades, and attendance counts
  • Bookkeeping: team finances or payments if your school uses Club Hub bookkeeping

Using events for practices, games, and tryouts


Coaches and admins can create events from the team page. Events can be used for:


  • Practices
  • Games
  • Tryouts
  • Team meetings
  • Travel meetings
  • Deadline reminders
  • Optional workouts


Team events appear on the team calendar and can help students keep track of their schedule.


For large teams, attendance tracking can help coaches and athletic directors see who is showing up over time.

Using announcements for team communication


Announcements are useful for updates that need to go to the whole team.


Examples include:


  • Practice location changes
  • Game reminders
  • Meeting cancellations
  • Uniform reminders
  • Tryout instructions
  • Schedule updates


Students can receive notifications through Club Hub, which helps keep school communication in one place instead of relying on personal text messages.


Team announcements


Group Chat for teams


If your school has Group Chat enabled, coaches can also use Club Hub for more conversational team communication.


Group Chat can be useful for:


  • Team-wide chats
  • Smaller groups within a team
  • Captains or managers
  • Trip or tournament groups
  • Quick practice updates


Athletic directors and administrators can help decide how coaches should use announcements, events, and Group Chat together.


For urgent same-day changes, remind students to install the Club Hub mobile app and turn on push notifications.


Parent communication


Some schools use parent notifications with Club Hub events. If parent emails are uploaded for your school, selected events can notify parents when appropriate.


This can be helpful for athletics because students do not always pass schedule changes along to parents.

Best practices for athletic directors


To get the most out of Athletics, we recommend:


  • Start with one season or one group of teams before adding every team
  • Train coaches before the season begins
  • Tell athletes to install the Club Hub app and turn on notifications
  • Decide which teams need attendance tracking and which only need roster or communication tools
  • Use approval-required teams for tryout-based sports
  • Add student captains or managers as team leaders when they help with communication
  • Keep public athletic websites for public-facing schedules if your school already uses one
  • Use Club Hub for internal team organization, communication, rosters, attendance, and participation data

Why do I not see the Athletics tab?


Athletics has to be activated for your school. Reach out to Ilan to turn it on.


Are athletic teams separate from clubs?


Yes. Athletics is designed to keep sports teams separate from clubs while still using the familiar Club Hub structure.


Can students join teams the same way they join clubs?


Yes, students can join teams through Club Hub. For teams that require tryouts or approval, admins and coaches can use approval settings so students do not become full members automatically.


Can coaches track attendance?


Yes. Coaches can take attendance for team events, including practices and meetings.



Yes. Coaches can use the Files tab to share resources, links, forms, or team documents.


Does Athletics replace our public athletics website?


Not necessarily. Many schools keep their public athletics website for public schedules, scores, and marketing. Club Hub Athletics is best used for internal team organization, communication, rosters, attendance, and student participation tracking.
